This privacy policy explains what personal data Pebbles collects, why we collect it, how we use it, and your rights under UK GDPR. We're a small local business and we genuinely don't do anything clever or opaque with your data.

What data we collect

Enquiries and quotes

When you submit a contact form or quote request on our website, we collect the information you provide — typically your name, email address, phone number, postcode, and any details about the service you're interested in. We use this to respond to your enquiry and provide a quote.

Waitlist sign-ups

When you join a waitlist for an area where we're not yet operating, we collect your email address. We use this only to contact you when we launch in your area. We will send you one email when we open bookings there and then remove your address from the waitlist unless you become a customer.

Customers

If you become a Pebbles customer, we hold your name, address, contact details, and service details (such as gate access information) for the purpose of delivering your service. We also send you a photo confirmation after each visit.

Website analytics

Our website may use basic analytics tools (such as Google Analytics) to understand how visitors use the site — for example, which pages are most visited and how people find us. This data is aggregated and anonymised and is not linked to any individual unless you have given consent for personalised tracking via your browser settings.

Legal basis for processing

Under UK GDPR, we need a legal basis to process personal data. The bases we rely on are:

  • Legitimate interests — responding to enquiries you've sent us, running our service efficiently, and marketing to people who have contacted us about our services.
  • Consent — for waitlist sign-ups, where you've actively opted in by submitting your email address.
  • Contract — for customers, to fulfil the service agreement.

How we use your data

We use your data to:

  • Respond to enquiries and provide quotes
  • Deliver the service you've paid for
  • Send you service-related communications (appointment reminders, visit confirmations)
  • Notify waitlist members when we launch in their area
  • Improve our website and understand how people find us

We do not sell your data to third parties. We do not use your data for automated decision-making or profiling. We do not send marketing emails unless you are an existing customer or have explicitly signed up to hear from us.

Who we share data with

We share your data only where necessary to operate:

  • Formspree — our contact and quote forms send submissions via Formspree, a third-party form processing service. Formspree processes form data on our behalf. Their privacy policy is available at formspree.io/legal/privacy-policy.
  • Google — we may use Google Analytics for anonymised website traffic data, and Google Workspace for business email. Google's privacy policy is at policies.google.com/privacy.

We do not use any other third-party marketing platforms, CRM software, or data brokers.

How long we keep your data

  • Enquiries that don't lead to a booking: we keep these for up to 12 months in case you get back in touch, then delete them.
  • Waitlist sign-ups: held until we launch in your area and send the notification email, after which your address is removed unless you become a customer.
  • Customer records: held for the duration of your service plus 3 years for accounting and dispute resolution purposes, then deleted.

Your rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — ask us to correct inaccurate or incomplete data
  • Erasure — ask us to delete your data (subject to any legal obligations to retain it)
  • Objection — object to us processing your data on the basis of legitimate interests
  • Restriction — ask us to restrict processing while a complaint is being resolved
  • Portability — request your data in a portable format
  • Withdraw consent — if we're processing on the basis of consent (e.g. waitlist), you can withdraw at any time by emailing us

Cookies

Our website uses essential cookies necessary for the site to function (such as navigation state). If we use analytics cookies, these are covered by standard browser consent mechanisms. We don't use advertising cookies or tracking pixels from ad networks.

We take reasonable steps to keep your data secure. Our website is served over HTTPS. Form submissions are handled via Formspree's secure infrastructure. Customer data held in our business systems is accessible only to the Pebbles team.

We may update this policy occasionally. The date at the top of this page shows when it was last revised. If we make significant changes, we'll note them here.

Complaints
